Privacy Policy
This policy is maintained by AITW Authentica, the company behind Batchbind, and describes how the platform handles personal data and workspace records.

Who this covers
Batchbind is a business-to-business platform. Most data in the system is workspace data uploaded by a manufacturer, brand owner or auditor — formulas, batch records, supplier documents and compliance evidence. Personal data is limited to the people who use the product on behalf of those organisations.
Where an organisation uploads records that contain personal data about its own staff or suppliers, that organisation is the controller of the data and Batchbind processes it on their instructions.
What we collect
- Account data — email address, display name, and the workspaces and roles assigned to you.
- Location preferences — the country, city and timezone you set on your profile and work posting, used to localise currency, dates and applicable regulatory rule packs.
- Workspace content — formulas, ingredients, batches, certificates of analysis, stability studies, audit findings and uploaded files.
- Ledger events — an append-only, hash-chained record of significant actions (formula published, batch released, inspection accessed), including the acting user and timestamp.
- Operational logs — authentication events, API key usage and error diagnostics needed to run and secure the service.
How we use it
To provide the product: run compliance assessments, generate labels and export bundles, calculate costs against exchange rates, notify you of regulation changes, and produce the verifiable audit trail that is the core of the service. We also use aggregated, non- identifying usage information to prioritise product work.
We do not sell personal data, and we do not use your workspace content to train general-purpose AI models.
AI processing
Features such as the AI Formulation Studio, substitution suggestions and certificate-of- analysis parsing send the relevant content to a model provider to generate a result. Input is sent for the purpose of answering that specific request and returning it to your workspace. AI output is a draft for a qualified person to review — it is not a regulatory determination.
Data residency
Each workspace selects a home region when it is created, and workspace records are stored in the cell associated with that region. Region is shown in workspace settings and is not changed without an explicit request from a workspace administrator.
Subprocessors
Batchbind relies on a small set of providers to operate: cloud hosting and managed database services, an AI model gateway for the generative features, a transactional email provider for alerts and account mail, a payment provider for subscriptions, and a public exchange- rate feed for indicative FX. Providers are used for the functions described above only.
A current list of named subprocessors is available on request from the contact below, and we will give notice of material changes to workspace administrators.
Cookies and analytics
Batchbind uses cookies and equivalent browser storage that are necessary to run the service: keeping you signed in, remembering your active workspace, and supporting offline use on the plant floor. We do not run third-party advertising trackers or sell audience data.
Retention and deletion
Workspace content is retained for as long as the workspace is active. You can delete most records from within the product. Ledger events are deliberately append-only: because their purpose is to prove that a record was not altered after the fact, individual entries cannot be edited or removed, though the workspace and its ledger can be deleted in full.
On written request from a workspace administrator we will delete a workspace and its content, subject to any records we are legally required to keep. Backups age out on a rolling cycle after deletion.
Your rights
Depending on where you are located you may have rights to access, correct, export or delete your personal data, and to object to certain processing. You can update your own profile details in settings at any time. For anything else, contact us and we will respond within a reasonable period.
If your account was created by an employer, we may direct requests about workspace content to that organisation as the controller.
